4.  Who We Share Your Data With

  • With our property management and booking platform (Hospitable) to manage your reservation

  • With our cleaning and maintenance contractors, where necessary to prepare the property for your stay
  • With the Booking Party (insurance company, corporate employer, or healthcare provider) where they arranged your stay and need updates
  • With law enforcement or regulatory authorities where required by law
  • With professional advisors such as accountants or lawyers where necessary

All third parties who handle your data on our behalf are required to do so securely and only for the purposes we specify.

5.  How Long We Keep Your Data

5.1   Guest booking records are retained for 6 years after your stay, in line with our legal and tax obligations.

5.2   Guest register records (name, nationality, passport details) are retained for a minimum of 12 months after your stay, as required by the Immigration (Hotel Records) Order 1972, and then securely deleted.

5.3   Email marketing data is retained until you unsubscribe or request deletion.

5.4   Enquiry and communications data is retained for 2 years or until the matter is resolved, whichever is later.

6.  Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data, where we have no legal obligation to retain it
  • Object to processing based on legitimate interests
  • Withdraw consent for marketing at any time
